ZipOut does not allow you to compress attachments in public folders. You also cannot compress attachments in a mailbox for which you are the delegate. You can compress attachments only in your mailbox folders or in a personal folders (.pst) file.
When ZipOut combines attachments into a single compressed file, the process may affect the position in the message of other items which have not been compressed. As an example, this is what happens to a message containing two attachments and a signature block with an editable image: when ZipOut operates in Combine mode, the two attachments are compressed into one .ZIP file and the editable image is moved out of the signature block to the position of the original second attachment. A simple remedy for this is to use Separate mode any time it is important to preserve the position of items in a message. In that case, each individual attachment is replaced by a compressed file in the same position and the image in the signature block stays where it belongs.
If you look at a message immediately after the Manage Attachments process has run in a folder, the message may appear unchanged, with uncompressed attachments and HTML stationery intact. This result is due to the way Outlook caches views to enhance performance. A view is refreshed at periodic intervals or when Outlook detects a change. The attachment management process may not trigger a view refresh. To verify that compression or stationery deletion has occurred you can either wait for Outlook to refresh the view on its own or change to another view.
To change a folder view
- Select View from the Outlook Explorer menu
- From Current View list, select a view other than the one currently checked.
Once the view has changed, locate the item you examined previously to verify that attachment compression or stationery deletion has occurred
Note The more items there are in a folder, the longer it takes for a view to change. When a folder has many hundreds of messages there will be a noticeable delay before the new view is displayed.
If you select Word as your default mail editor in Outlook 2000, the ZipOut command bar buttons (ZipOut On/Off, Combine, and Options) do not appear on the message toolbar but instead are available from the ZipOut toolbar in the Outlook Explorer window. If you change your default mail editor to Word and have HTML or Plain Text as your default mail format, you must restart Outlook in order for the ZipOut toolbar to display the ZipOut command bar buttons.
While ZipOut command bar buttons do not appear on the toolbar for messages where Word is the default editor, they will still appear on Outlook items (such as an Appointment item) where Outlook is always the default editor.
ZipOut compresses attachments with both the Outlook and Word editors and with all mail formats including Outlook Rich Text, HTML and plain text.
In Outlook 2002 the ZipOut command bar buttons will appear on the message toolbar for all e-mail editors, including Word. However, when an e-mail message that uses Word as the e-mail editor (WordMail) is open and a Word document is opened at the same time then the ZipOut On/Off, Combine and Options will appear on the Word document toolbar. This condition will not occur when there is no WordMail message open, or if Word is launched when there is no WordMail message open.
The ZipOut toolbar will not be visible when you navigate to a file system folder such as "My Documents". The toolbar will reappear when you select an Outlook folder such as your Inbox. For Outlook 2000 only, if you position the ZipOut toolbar as a floating toolbar, it will not be visible when Word is your default Mail Editor.
