Manage Attachments Dialog Box

The Manage Attachments dialog box controls how and when attachments are compressed. The target folder(s) on which the ZipOut attachment management process operates is determined by the folders that you check in the Manage Attachments dialog box.

Note  If the Outlook E-mail Security Update is installed on your computer, ZipOut cannot manage attachments in your Contacts folder. The Contacts folder will not be visible in the Folder List.

To display the ZipOut Manage Attachments dialog box
  1. Click the Manage Attachments command on the ZipOut Toolbar or the ZipOut Shortcut menu.
  2. ZipOut will display the Manage Attachments dialog box shown below.
  3. By default, your Mailbox is checked for attachment management. If you check the top-level folder, all the subfolders of the top-level folder will be checked. If other PST files are present in your profile, you can check the top-level folder or select individual subfolders to enable attachment management. If you uncheck a folder, that folder will not be subject to attachment management.

Note  If you uncheck one or more subfolders of a parent folder, the parent folder will appear with a grey check box as shown below.


Folder Tree Shortcuts

ENTER Expands or collapses the current Node.

SPACEBAR toggles the checkbox for the selected folder.

BACKSPACE Moves to the parent Node.

* (numeric keypad) Expands all descendant Nodes beneath the currently selected Node.

+ (numeric keypad) Expands the currently selected Node.

- (numeric keypad) Collapses the currently selected Node.

Typing selects the folder name you type at the keyboard.

Up Arrow Moves to the previous Node.

Down Arrow Moves to the next Node.

Right Arrow Expands the currently selected Node if it is not expanded; otherwise, moves to the first child.

Left Arrow Collapses the current selected Node if it is expanded; otherwise, go to the parent.

PAGE DOWN Moves to a Node and places that Node one up from the bottom of the folder list.

PAGE UP Moves to a Node and places that Node at the top of the folder list.

CTRL+Click Enables selection of multiple nodes in the folder list

To Schedule Automatic Attachment Management
  1. Use the ZipOut Toolbar or ZipOut Shortcut menu to display the Scheduled Tasks dialog box.
  2. Click the Task menu, point to New, and point to Manage Attachments... to display the New Manage Attachments Task dialog box.
  3. Select the folders for attachment compression, and check Index attachments after compression box.
  4. Click OK.
  5. Enter a name for the scheduled task in the New Task dialog shown below and press OK to continue. You must supply a unique name for the scheduled task.

  1. ZipOut will skip this step if you are running Windows 98 or Windows ME. On Windows 2000 and Windows XP, ZipOut will display the Enter Password dialog box shown below. In order to create the Scheduled Task, you must enter your logon password for Windows. On Windows XP, if you enter a blank password, the task will not run.

  2. ZipOut will display the Schedule page of the Scheduled Task dialog box. Select the type of scheduled task for attachment compression in the Schedule Task drop-down. You can select Daily, Weekly, Monthly, Once, At System Startup, or When Idle.
  3. Depending upon the type of scheduled task your have selected, you can select other parameters such as Start Time and Interval.
  4. Click the Advanced button to configure additional scheduling options for the task such as Start Date.
  5. If you check the Show multiple schedules box, you can establish multiple schedules for the compression task.
  6. If you click the Settings tab, you can configure other settings for the task such as Idle Time and Power Management.
  7. Click OK to accept your configuration of the scheduled task.
  8. Use the Scheduled Tasks command on the ZipOut Toolbar or the ZipOut Shortcut menu to change folder settings or task configuration.

 

Other Settings for Attachment Management
  1. Select Tools, then select the Options command in the Outlook Explorer window.
  2. Click the Manage Settings button on the ZipOut Property Page.
  3. Set the extensions for attachments that will be excluded from attachment compression in the Manage Attachments Settings dialog box. ZipOut lets you set exclude extensions for attachment management separately from the exclude extensions for Outgoing Messages.
  4. You can also configure whether attachment compression combines attachments and skips compression for attachments below a certain size.
To Manage Attachments through the User Interface
  1. Click OK.
  2. You will see the summary message box shown below. If this message box correctly shows your choices and you wish to proceed, click Yes to start the manage attachments activity.

  1. You will see a progress bar similar to the one shown below that summarizes compression activity in the current folder. Click Cancel if you want to interrupt the manage attachments activity.

 

 
Manage Attachments Options
 
Compress Attachments  Check this box to compress attachments to messages in the checked folder(s).
Remove Stationery from HTML Messages  Check this box to remove stationery from HTML messages in the checked folder(s). If an HTML message with stationery contains other attachments, these attachments will be compressed if Compress Attachments is checked.
Index attachments after compression Check this box to index attachments automatically in your Mailbox and optionally in Personal Folders Files (.pst) after you compress attachments. If Index attachments after compression is checked, then only the top-level folders that have been checked in the Folder List will be added to the attachment index.
