Managing Attachments with ZipOut

To solve the problem of growing attachment volume and limited mailbox storage resources, ZipOut lets you compress attachments on messages that you receive, in addition to those on outgoing messages. You can also choose to remove stationery from HTML messages or delete attachments on selected items in a folder..

You can compress existing attachments on Outlook items either through the Outlook user interface or automatically based upon a scheduled task. The Manage Attachments dialog box controls how and when you manage attachments, and what folders will be managed.

All compression activity is recorded so that you can understand the benefits you are receiving. The ZipOut Compression Results page charts cumulative compression results. The Compress Attachments Log shows you how many attachments were compressed, original bytes, compressed bytes, and the compression ratio for each folder.

Note  You can only manage attachments in your personal mailbox or in a personal folders file (*.pst). You cannot manage attachments in a mailbox for which you are the delegate, or for items in Exchange public folders. 
To display the Manage Attachments dialog box
  1. Click the Manage Attachments command on the ZipOut Toolbar or the ZipOut Shortcut menu.
  2. ZipOut will display the Manage Attachments dialog box.
To remove Attachments from selected items in a folder
  1. Click the Remove Attachments command on the ZipOut Toolbar or the ZipOut Shortcut menu.
  2. ZipOut will ask if you want to remove attachments from selected items in the folder. If you answer Yes, all attachments will be removed from each selected item in the current folder.

Note  You cannot undo the Remove Attachments command. Be certain that you want to remove attachments from selected items in the current folder.

Archiving

The Last Modified date of a message gets updated when ZipOut compresses or removes its attachments. This will affect the archiving schedule, because Outlook uses the Last Modified date to determine when an item should be archived. After Manage Attachments has run, messages where attachments were compressed or removed will be archived later than unchanged messages which arrived at the same time.
