Index Attachments Dialog Box

The Index Attachments dialog box controls how and when attachments are indexed. The folders that ZipOut indexes are determined by the information stores that you select in the dialog box. All folders contained by the source are indexed. Your Mailbox is always selected by default. If your profile includes additional Personal Folders (.pst) files or other Exchange mailboxes, you will be able to index those as well. If you index another user's Exchange mailbox, you must have at least reviewer permissions on all folders in the mailbox.

Note  You cannot index attachments in Exchange Public Folders.

To select a source for indexing

Check the box next to the source name in the Sources list box.

Note  ZipOut will remember the sources you have selected for attachment indexing between Outlook sessions.

To Index Attachments

Click the OK button to immediately begin the indexing process. You can continue to work in Outlook while the Index is being built.

To Schedule Automatic Attachment Indexing
  1. Use the ZipOut Toolbar or ZipOut Shortcut menu to display the Scheduled Tasks dialog box.
  2. Click the Task menu, point to New, and point to Index Attachments... to display the New Index Attachments Task dialog box.
  3. Select the stores for attachment indexing, and optionally check Delete existing index and rebuild box.
  4. Click OK.
  5. Enter a name for the scheduled task in the New Task dialog shown below and press OK to continue. You must supply a unique name for the scheduled task.

  1. ZipOut will skip this step if you are running Windows 98 or Windows ME. On Windows 2000 and Windows XP, ZipOut will display the Enter Password dialog box shown below. In order to create the Scheduled Task, you must enter your logon password for Windows. On Windows XP, if you enter a blank password, the task will not run.

     
  2. ZipOut will display the Schedule page of the Scheduled Task dialog box. Select the type of scheduled task for attachment indexing in the Schedule Task drop-down. You can select Daily, Weekly, Monthly, Once, At System Startup, or When Idle.
  3. Depending upon the type of scheduled task your have selected, you can select other parameters such as Start Time and Interval.
  4. Click the Advanced button to configure additional scheduling options for the task such as Start Date.
  5. If you check the Show multiple schedules box, you can establish multiple schedules for the indexing task.
  6. If you click the Settings tab, you can configure other settings for the task such as Idle Time and Power Management.
  7. Click OK to accept your configuration of the scheduled task.
  8. Use the Scheduled Tasks command on the ZipOut Toolbar or the ZipOut Shortcut menu to change store settings or task configuration.

 

 

To View Index Information

Click the Index Information command  command on the ZipOut Toolbar or the ZipOut Shortcut menu to display the Index Information dialog box. The information shown will detail the results of the most recent attachment index.

Attachments count shows the number of attachments, including files within zip attachments.
Compressed size of all attachments shows the size of all attachments, including the compressed size of files within zip attachments.
Uncompressed size of all attachments shows the size of all uncompressed attachments, including the uncompressed size of files within zip attachments.
Size of index (compressed) shows the size of the index. The index is stored in your Mailbox.

Index Attachments Options
Delete existing index and rebuild  If you check this box, ZipOut will recreate the index for the selected stores. Rebuilding an index deletes the existing index and builds a completely new index.
